Planning a mountain journey should be an exciting experience, not a stressful one. At Red Fox Trails, we have refined our planning and guiding process over many years to make the entire journey — from the first email to the final summit — as smooth, personalized, and joyful as possible. Here is what you can expect when you travel with us.

Step 1: The Discovery Conversation

Every Red Fox Trails journey begins with a conversation. We want to understand who you are as a traveller: your fitness level and any physical considerations, your previous outdoor experience, what has drawn you to this particular destination, and what a "perfect day in the mountains" looks like to you. This conversation — typically a 30-minute video call or a detailed email exchange — allows us to design an itinerary that genuinely fits your needs rather than simply slotting you into a standard package.

We ask about your pace. Some of our guests want to push hard — long days, challenging terrain, technical routes. Others want to move slowly, stopping often to observe wildlife, photograph landscapes, or simply sit and absorb the view. Both are equally valid, and our itineraries reflect this diversity of preferences.

Step 2: The Custom Itinerary

Based on our discovery conversation, we design a custom itinerary for your trip. This document — typically 15-20 pages for a 7-day tour — includes day-by-day route descriptions with elevation profiles, accommodation details (including photographs of each property), a packing list calibrated to the specific terrain and season, and a detailed logistics plan covering transfers, luggage arrangements, and emergency protocols.

We present this itinerary and invite feedback. Nothing is fixed until you are completely satisfied. We iterate until the plan feels exactly right.

Every Red Fox Trails itinerary includes a "Plan B" for each day — an alternative route or activity that can be activated in response to bad weather, group fatigue, or unexpected trail conditions. Our guests are never left without a quality experience, regardless of what the mountains decide to do.

Step 3: Pre-Departure Preparation

Four weeks before departure, we send a comprehensive pre-departure pack. This includes: a final detailed itinerary with any last-minute adjustments, a curated reading list about the destination (natural history, culture, recommended travel literature), a fitness training plan tailored to the demands of the specific tour, and contact details for all accommodations and your guide.

Two weeks before departure, we schedule a final briefing call — a chance to ask any remaining questions, review the weather outlook, and confirm all logistics. By the time you board your plane, you should feel fully prepared and genuinely excited.

Step 4: On the Trail

Your guide meets you at the airport or your accommodation on Day 1. From that moment, you are in expert hands. Our guides handle all the daily logistics — trail briefings, weather monitoring, lunch stops, hut check-ins — so you can focus entirely on the experience. They adapt the route in real time based on conditions and group energy, always optimizing for the best possible experience rather than sticking rigidly to the plan.

In the evenings, the guide prepares you for the following day: what terrain to expect, what wildlife might be around, what cultural highlights are on the route. They are also your local expert for restaurant recommendations, language assistance, and insight into local customs.

Step 5: After the Journey

The journey doesn't end when you go home. Within a week of your return, we send a curated selection of photographs taken by your guide during the tour (with your permission), a follow-up survey to capture your feedback, and, where relevant, information about the conservation projects you have supported through your trip fees. Many of our guests become long-term travellers with Red Fox Trails — returning year after year for new destinations and new challenges.
